Accounts Payable Coordinator

We are currently seeking a full-time Accounts Payable Coordinator who will be responsible for supporting the accounts payable invoice input process. The Accounts Payable Coordinator will provide leadership and direction to the Accounting Associate The successful candidate must be a self-starter who is able to organize work priorities with minimal or no supervision. This role requires strong organizational skills, attention to detail, ability to meet tight deadlines, and creative problem-solving skills.


  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Balance daily AP processing
  • Prepare invoices for data entry by matching vendor invoices, receiving tickets, and PO’s
  • Receive and answer questions from staff and vendors regarding purchase order invoice data, accounts payable checks, and related matters
  • Process vendor payments according to terms and conditions via check or ACH transfer
  • Ensure that all assigned manual checks are recorded accurately and timely
  • Report sales tax paid on invoices
  • Maintain and update W-9 documents, as well as 1099 maintenance
  • Provide supporting documentation for audits
  • Assist in month end closing
  • Distribute workflow appropriately to accounting associate
  • Assist with other projects as needed

Minimum Qualifications:

  • Bachelor’s Degree in Accounting/Finance/Business/Economics preferred  
  • 2+ years of Accounts Payable or accounting experience is preferred
  • 2+ years QuickBooks experience
  • Proficiency in MS software (Word, Excel, PowerPoint, and Outlook) and other standard office equipment for recording, storing, analyzing, retrieving, and presenting information
  • Excellent Excel skills required
  • Ability to communicate effectively verbally and in writing
  • Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness
  • Detail oriented, professional attitude, reliable

Preferred Qualifications:

  • Experience mentoring a team and supporting a team administratively is a plus
